JobAgent i Skandinavien AB, 559080–3374, (”JobAgent”, ”us”, “we”) protects and respects your integrity. This Privacy Policy describes what personal data we collect and how we process it.

Personal data and processing

Personal data is any kind of information that can be related to an individual. Both data that can be directly and indirectly related to an individual are personal data. Not only the typical information you think of, such as name and personal identity number but also images, audio recordings and a computer’s IP address are examples of personal data if it can be related to an individual.
Processing of personal data means everything you do with personal data. For example, collecting, registration, structuring, storing, amending or modification, reading, using, delivering and deleting.

Personal data you submit to us:

When you create an account at JobAgent, visit our website or otherwise contact us, you will provide information about yourself to us, i.e. personal data. Such personal data may be as follows:

  • E-mail address
  • Name
  • Phone
  • Gender
  • User category
  • Personal identity number
  • Employment and company information from current and past employments
  • Education background including certificates, driver licenses and related permissions
  • Language skills and other work-related skills
  • Picture and video material that you choose to upload
  • Personality description and other info that you choose to upload
  • Employment preferences
  • Test results via third parties
  • Log in credentials for your account at JobAgent
  • Technical information, e.g. identifier information, information about the software and hardware you use, geo-data, a log of your use of JobAgent.
  • Financial information, e.g. credit card details, invoice details and payment history.

In addition to the above-mentioned personal data, we will process all other information about you that you choose to share with us. We, therefore, urge you not to upload sensitive personal data such as information that reveals racial or ethnic origin, political opinions, religious or philosophical beliefs, union membership or health, sexual or sexual orientation information (“sensitive personal data“). You should also avoid as far as possible to upload your personal identity number and may consider removing it from documents you upload.

If you contact us, we may also store and otherwise process our correspondence, including the information you share with us.

Personal data we collect from others::

When creating an account at JobAgent, we may collect personal data from third parties as follows:

  • If you create your account with BankID, we obtain your personal identity number, first name and last name from Finansiell ID-Teknik BID AB (BankID).
  • A recruiter’s payment information may be provided by e.g. a bank or payment partner.

Cookies

We use cookies on this site and in our web-based products. Cookies are small text files placed on your hard drive. These files identify your computer and store your choices and other data about your visit including tracking usage.

How we use your personal data?

Legal basis

We will only process your personal data when we have a legal basis to do so.

The legal basis for our processing of your personal data is primarily the agreement we enter when you create an account at the JobAgent platform, and thereby also accept our terms of use. The processing of your personal data is necessary for us to fulfil the agreement, i.e. providing your account on the JobAgent platform, as well as providing our intermediary service and platform for recruitment and career guidance.

In some cases, our processing of your personal data is necessary for purposes that pertain to our or another third party’s legitimate interest. To the extent we enter into an agreement with a company you represent, where applicable, we may process your personal data as it is necessary for our performance of the agreement with the company. Processing of your personal data may also be necessary for us to develop and improve our service, or to communicate with you. See more about the purposes of our processing below. In these cases, we have made the assessment that our or the third party’s interests in processing the data outweigh your interest in not doing so.

In some cases, we must process your personal data to fulfil our obligations under law, other statutes or government decisions.

Purposes

Depending on how you use our service, e.g. if you are a candidate or recruiter, your personal data will be processed by us for the following purposes:

1. To provide our platform for recruitments and career guidance

We process your personal data to create and manage your account at the JobAgent platform, as well as offer and customize products and/or other services for you, such as matching you with a job, a recruiter or a candidate, and providing different types of personality and/or competency tests. More information about our platform and the service we provide can be found on our website and in our Terms of Use, here.

If you register your account with BankID, information about this may be used to promote you as a “verified user” in the platform.Your personal identity number will however only be processed for identification purposes.

  1. To administer our business relationship

We process your personal data to be able to administer the business relationship we enter when you accept our terms of use, e.g. manage payments, monitor the users’ compliance with the terms of use, manage closed accounts etc.

  1. To communicate with you

When you contact us, we process your personal data to answer and handle the questions you ask and otherwise to be able to meet your requests.

We may also process your personal data to send you information about JobAgent, e.g. marketing communications and invitations to events that may be of interest to you, information about our products and services, or information about our policy documents and terms.

  1. To be able to protect, develop and improve our service

We may process your personal data in our work with strengthening the security of our network and information systems to identify and thus prevent fraud and other illegal activities.

Your personal data may also be processed to give us a better understanding of how our users interact with our platform, as well as to evaluate and develop new features, technologies and other improvements to the service.

We may also process your personal data to understand, diagnose, troubleshoot and solve problems with our service.

  1. Automated decision making/profiling (candidates only)

We use our advanced technology to enable sorting of suitable candidates based on your personal data and on the criteria determined by a recruiter. The process of sorting out and finding suitable candidates is automatic.

  1. Legal obligations and defending legal claims

We may need to process your personal data to comply with legal obligations and requests from the court and other authorities.

If necessary, your personal data may also be processed to establish, exercise or defend legal claims.

How long do we store your personal data?

We will only process your personal data for as long as necessary for the purpose of the processing, or as long as you wish to receive our information.

Your personal data may be deleted in the following cases:

  • When you delete your personal data via the JobAgent platform in the menu under the heading “Account Security”
  • When you delete your JobAgent account
  • Automatically, when you have not been logged into the JobAgent platform for over 24 months
  • When we receive a request from you regarding deletion (see section “Your rights as registered” below)

Note that JobAgent may need to keep information about you longer than mentioned above to the extent we are required to do so by law, statutes or government decision.

Share with third parties                                      

We may share your personal data with a third party in accordance with this section. In particular, note that only the personal data necessary for the specified purposes will be shared.

  • If you, as a candidate, perform personality, problem-solving and specific ability tests provided by an external supplier, your personal data may be transferred to and processed by the supplier for conducting such tests.
  • If you create your account with BankID. Your personal data can thereby be transferred to Finansiell ID-Teknik BID AB (BankID).
  • When using external IT systems and storage services, IT service providers can access your data to perform the service.
  • Your personal data may be shared with authorities if we are required to do so by law or court order.
  • When you create an account with us, the information about you that you upload will be shared with and can be disseminated by others; users with an account at JobAgent and users without an account at JobAgent. This will happen as follows:
  • Candidate

The information and documentation that you have uploaded in the JobAgent platform, except your contact information, becomes public and can be seen by anyone, even by people who are not logged in to the JobAgent platform. This also means that your personal data will be searchable by anyone. Logged in users can send you requests by the means of messages and emails. A request may imply that you are asked to make all your data that you have uploaded to the JobAgent platform visible, i.e. even your contact information. You decide if you want to share your information. 

As a user of the JobAgent platform, you can also choose to disseminate your personal data yourself, through a link to your data or through a PDF linked to your data. Even a recruiter who, after the accepted request has access to your information, can to disseminate the information. When you or a recruiter disseminates your information, your personal data is distributed outside the JobAgent platform. Thus, you must be aware that there is a risk that this data will be transferred to another third party. JobAgent will not be the Data Controller for storing and other processing of your personal data that a recruiter or third party carries out hence such processing is not covered by this Privacy Policy.

  • Recruiter

All information that you have uploaded to the JobAgent platform, except payment details, can be viewed by anyone, even by people who are not logged in to the JobAgent platform. This also implies that your personal data will be searchable by anyone.

 

As a user of the JobAgent platform, you can also choose to actively disseminate your personal data through a link to your data, or via a PDF linked to your data. When you disseminate your information, your personal data is distributed outside the JobAgent platform. Thus, you must be aware that there is a risk that these will be transferred to another third party. JobAgent will not be the Data Controller for storing and other processing of your personal data that a recruiter or third party carries out hence such processing is not covered by this Privacy Policy.

Where your personal data is stored and processed

In case we store your personal data in our systems, the personal data will be stored within the EU.

As described in the section above “Share with third parties”, we may share your personal data with third parties. Such third parties are based within the EEA. In exceptional cases, however, we may transfer personal data to third parties in countries outside the EEA (also called third countries). We only make such transfers if applicable data protection rules are complied with.

We strive to implement the reasonable measures necessary to ensure that your personal data always is processed securely and in accordance with this Privacy Policy.

 

Data security

We will comply with strict procedures and implement adequate technical and organizational measures to prevent unauthorized access, alteration, deletion or transfer of personal data.

While we will do our best to protect your personal data, you should be aware that transmission of information over the Internet is not entirely secure and we cannot guarantee the security of your personal data sent via email or other channels to third parties. Therefore, every transfer is at your own risk.

Your rights as registered

Under the applicable data protection laws, you have the following rights:

  1. Right to access

You have the right to know if we process any data about you and, if so, right to get information about what data we process through a so-called register extract. You are entitled to one free register extract per year.

  1. Right to rectification

You have the right to have incorrect personal data corrected. You also have the right to have incomplete personal data completed by providing information.

  1. Right to be forgotten/get data deleted

Under certain conditions, you have the right to request that we delete your personal data.

  1. Right to restriction of processing

Under certain conditions, you are entitled to request restriction of JobAgent’s processing of your personal data. This applies, inter alia, if you dispute the accuracy of the data and we must verify this.

  1. Right to data portability

Under certain conditions, you have the right to obtain your personal data that you have submitted to us in a structured, commonly used and machine-readable format, and you have the right to transfer this personal data to another data controller. If technically possible, you have the right to ask us to transfer your personal data directly from us to another data controller.

  1. Right to object

You have the right to object to our processing of your personal data performed for direct marketing purposes or is based on legitimate interest, including profiling for these purposes. If you object to the processing for direct marketing, we will immediately cease such processing. If you object to other processing based on legitimate interest, we will make a new assessment of whether our or third party’s interest in processing the data outweighs your interest in the data being processed against your will.

We use cookies on www.jobagent.se. You as a visitor must by law receive information that the website contains cookies. You must also get information about what they are used for and how to remove them.

We use Google Analytics

We use a service called Google Analytics. It is an analysis tool for web statistics and gives us an idea of how our visitors use our website. We do not receive any information about you, who you are or where you are. We only receive information about your visit to our website, including which pages you visited and how long you stayed. All information from saved cookies is forwarded and stored by Google. Google Analytics shows us:
